Primary Duties:

  • Reviews all new loan applications within 72 hours of receipt of file to ensure compliance with all investor agency/federal compliance guidelines.
  • Updates loan files, the mortgage computer system, and the tracking system as information is received; prepares final loan package for closing and final approval.

  • Submits the loan file directly to the underwriting department without prior review from supervisor. If necessary prepare cover letter highlighting compensating factors. Follow up on all outstanding underwriting conditions and resubmit as needed.
  • Provide calculation of borrower’s income according to investor/agency guides, including but not limited to borrowers with multiple sources of income.
  • Prepares loan file for closing, secure MDIA compliance review and hazard insurance binder, H06 for condominiums and PUD’s, completion of pre-closing checklist.
  • Final HUD review
  • Update Loan Officers with current file status weekly.
  • Prepare and submit closed loan file to Post Closing within 24 hours of final disbursement.
  • Assist Post Closing with any investor pend issues.
  • Remain informed of all aspects of investor/agency/compliance policies that affect the processing of mortgage loans.

Primary Duties:

Mortgage Accounting

  • Process and enter mortgage-related accounting activity in the AMB General Ledger, including deposits, wire transfers, credit card transactions and miscellaneous credits and charges in the Bell Mortgage checking account.
  • Process uploads of data from Encompass / Bellos loan origination systems for loan closings and loan sales. Reconcile activity and make appropriate journal entries in AMB system.

Payroll

  • Accurately prepares and processes all data pertinent to the semi-monthly payroll for Bell Mortgage Division of Bell State Bank and Trust. This includes all duties necessary to add any changes communicated from human resources, process regular semi-monthly payroll and maintain all records and supporting documentation.
  • Monitor and help maintain Kronos (Time and Labor Online), our time clock system. This includes time exception reports, FTO, holiday hours, and data entry to the ADP System.
  • Prepare and distribute payments of any voluntary employee deductions such as insurance premiums, flexible benefits, garnishments and child support. Monitor new hires and terminations in working with health insurance, Cobra, flexible benefits and 401(k).
  • Maintain accurate payroll records for ease of research and completion of any other required reports as directed by management or external auditors.
  • Know by name and face as many employees & clients as possible, calling them by name as often as possible.
  • Provide any other assistance to Human Resources and Accounting/Finance whenever required and perform other duties as assigned.

Loan Officer Commission Reports

  • Accurately prepare and process monthly loan officer commission reports for Bell Mortgage Division of Bell State Bank and Trust. This includes processing and entering draw information and coordinating research requests for commissions on certain loans in order to determine a final commission report for the month.
  • Maintain and monitor AMB Loan Officer Commission set-up screens to ensure that data reflects all current loan officer contracts. This includes all changes, additions and deletions of loan officer contract information and testing to make sure it is accurate.
  • Maintain electronic and paper backup records of all reports as required by accounting/bank management and internal/external auditors.

Accounts Payable

  • Pay all vendors of the Bell Mortgage Division in a timely manner. This includes distributing invoices for manager approval, verifying proper use of GL codes and cost centers, coding invoices for input and generating miscellaneous checks as necessary.
  • Maintain the Accounts Payable module of Prologue and all vendor files. This includes making sure all vendor records are accurate and filing is organized.
  • Track, monitor, prepare and submit Sales and Use Tax Reports for the Bell Mortgage Division in a timely manner.
  • Send Form W-9 Requests to new vendors and prepare Form 1099-MISC at year end.
  • Provide courteous, accurate and speedy telephone assistance to customers or coworkers regarding their accounts.
  • Provide backup assistance for other finance positions and perform other duties as assigned.

Other

  • Assist whenever possible in special projects as instructed.

Required Skills and Abilities:

    • Although not an absolute requirement, an undergraduate degree in accounting is desirable.
    • 2+ years of experience in general accounting work is highly desirable.
    • It is highly desirable that the person occupying this position has had mortgage banking experience.
    • The individual occupying this position must have a comprehensive knowledge of Excel and Word and must possess overall computer skills.
